The value of a schedule of condition is entirely in its discipline: same fields, every room, every time, dated. A template helps with that and nothing else, which is why the useful thing to publish is the structure rather than another download. What one entry holds
A location precise enough to find again: the room, the wall, the height. A description of what is there in plain factual words: hairline crack, roughly two hundred millimetres, running diagonally from the top corner of the door frame. A photograph that shows it, with something in frame for scale. And the date. No cause, no opinion, no estimate of what it will cost to put right, because the moment an entry argues a case it becomes contestable and the record loses its power.
A schedule of condition example, worked
Rear bedroom, first floor, wall shared with number forty four. Hairline vertical crack in plaster above the door architrave, approximately three hundred millimetres, no displacement. Two photographs, wide and close. Ceiling: no cracking noted. Skirting: sound. Door: opens and closes freely. Recorded 5 September 2026. That is the whole entry, and its usefulness comes from having recorded that the door opened freely, which is the sort of line nobody thinks to write and everybody wishes they had.
The failure that makes a schedule worthless
Recording only the defects. A schedule that lists five cracks and says nothing else cannot show that the sixth crack is new, because it never claimed to have looked. The record has to state what was inspected as well as what was found, room by room, including the rooms where nothing was wrong. That is why the worksheet on this site counts items from rooms and defects per room rather than from defects alone: the empty rooms are part of the record.
Questions people ask about schedule of condition template
Should the neighbour sign it?
Agreeing it is better than signing it. What matters is that they have seen it before the work starts and raised no objection, and that both sides hold the same copy with the same date.
How many photographs per room?
Enough to show each wall and any existing damage twice, wide and close. The worksheet takes your own figure and totals it, because a house with high ceilings and picture rails needs more than a modern box room.
Can I use a phone camera?
Yes, if the photographs are sharp, well lit and kept at full size. Compressing them into a document destroys the detail that makes them evidence.
